JOB OPENING: PARISH SECRETARY

The Church of the Nativity seeks qualified applicants for the position of parish secretary.  The position is for 30 hours/wk.  At least one year of experience required.  Proficiency in Microsoft Office and Publisher especially important.  A detailed job description follows:

Job Goal:

Promotes the mission of Nativity Parish through administrative support for the pastor, parish staff and Nativity Pastoral Council.

Reports to:                 Pastor

Qualifications:

  1. One or more year’s secretarial experience.
  2. Competent secretarial skills.
  3. Competent skills on the computer.
  4. General Internet competency (Basic use of Microsoft Office (Word and Excel), Basic use of Microsoft Publisher, Management of Parish Website)
  5. Ability to work closely with a variety of people.
  6. Organize and prioritize work without direction.
  7. Ability to answer telephone, handle multi-line telephone and voice-mail.
  8. Maintain strict confidentiality in educational/professional areas.

Performance Responsibilities:

  1. Open offices, lock church doors in the morning, turn on copier, and prepare coffee for staff & visitors, and confirm daily that church doors are locked.
  2. Sort and deliver office mail.
  3. Greet visitors, assist as needed.
  4. Answer telephone, transfer calls, take messages.
  5. Type letters, make copies, etc. for pastoral staff as needed.
  6. Prepare weekly parish bulletin, submit to publisher, stuff inserts as needed or arrange volunteers to do this.
  7. Manage/update parish website.
  8. Record and schedule Mass intentions.
  9. Prepare usher and server, Sunset Park schedules and distribute.
  10. Prepare funeral booklets, contact musicians, Rosary society, and servers when necessary.
  11. Prepare baptism certificates and card for file.
  12. Score pre-marriage FOCCUS tests, send marriage license to Court House, notifications to parishes of baptism, record      weddings in marriage record, place the rest of the marriage file in a folder in vault.
  13. Record baptisms, deaths, marriages, and annulments in official books located in the vault; prepare certificates as      needed.
  14. Keep Master Schedule. 
  15. Schedule meeting rooms, manage rental payments, and keep track of access keys.
  16. Write receipts for mass intentions, rental payments, wedding payments, etc. as requested.
  17. Prepare weekly Mass schedule and post in hallway.
  18. Prepare new parishioner packets.
  19. Set up and update parishioner addresses with envelope tithing company electronically (on-line) and e-mail changes to      the Archdiocese to maintain their parishioner database.
  20. Assist parish organizations with mailings, file reports, etc.
  21. Assist the Pastor and Pastoral Council Chairperson in preparing materials for monthly meetings (verify reports      have been received from all parish groups.)
  22. In October prepare Book of Life and contact families of the deceased to invite them to attend the annual Mass of      Remembrance.
  23. Take registrations and prepare materials for Pre-Baptism class.
  24. Record Christmas and Easter flower donations and publicize in bulletin.
  25. Assist Pastoral Council/Election Committee with Parish Elections in the spring.
  26. Coordinate the completion of the annual Parish Status Report.
  27. Assist in preparation of schedules for liturgical ministers.

Hours:                                                 30 hours per week, as scheduled with the Pastor.
